Guest Policy
Effective May 10, 2026 — Indoor & Outdoor Courts
At HVTC, a “Guest” is defined as an individual without a CourtReserve account, typically someone who visits the club only a few times annually. Alternatively, players may set up a “Non-Member” account; these accounts do not require a membership fee and are exempt from the standard Guest fees outlined below. (Refer to our rates page for more information on Non-Member accounts.)

How It Works
When making an online court booking, enter your Guest in the required Guest field. CourtReserve will track your usage. If you try to book a court with a guest and your maximum allowance has been reached for the month, the system will show a warning message and not allow the booking. The allowance will reset each month.
Tracking Your Guests
Members must keep track of their own guests. Remaining guest allowances cannot be viewed from the member portal. If you would like to know your remaining monthly allowance, please call the front desk and we can look it up for you. Please keep in mind, we will not allow additional guest allowances past the allotted monthly maximum.

For “true” guests who do not have CourtReserve accounts. In addition to their portion of the court fee, guests will pay a flat fee of $10/visit.
Please note: The Guest Fee applies to both indoor and outdoor courts.
- Outdoor Guest fees can only be charged to the Member’s account. If a guest would like to pay their outdoor Guest Fee, they must arrange that separately with the member outside of the club.
- If playing inside, members have the option to select the fee split when booking the court, and guests may pay their fees up at the desk.
Indoor/Outdoor Court Policies — Summer 2026
Please note the following policies for court adjustments and cancellations.
Adjustments
Changes to your time of play or court location — including moving between indoor and outdoor courts — must be made at least 4 hours before the scheduled court time.
Late Indoor-to-Outdoor Moves: If moving from an indoor court to an outdoor court less than 4 hours before the scheduled time, indoor court fees will still be charged. Make these changes online or by phone before the 4-hour limit to avoid charges.
Late Outdoor-to-Indoor Moves: If moving indoors, please cancel your outdoor court first, then book an indoor court online, by phone, or in person at the front desk.
Cancellations
- Indoor courts: Our 24-hour-in-advance cancellation policy remains in effect.
- Outdoor courts: Please cancel your outdoor court booking if you are unable to play. This helps the front desk maintain an accurate schedule and gives other members the opportunity to book.
